Minimum Job Charge Calculator

Calculate a sustainable minimum job charge from labor, travel, setup, admin, overhead, and your target gross margin.

Your inputs
Minimum labor requirement
Total crew time you expect even on the smallest job, including on-site work and any labor time you intentionally include in the minimum.
Use loaded labor cost rather than base wage when possible.
Dispatch & job costs
Optional labor time spent driving, loading, dispatching, or preparing that is not already included in minimum crew hours.
Optional per-job cost for quoting, scheduling, invoicing, payment processing, or customer communication.
Average fixed overhead amount you want this job to carry.
Pricing target
%
The gross margin you want the minimum charge to preserve.
Optional. Enter your existing minimum charge to compare it with the calculated sustainable minimum.

What this calculator tells you

Set a minimum job charge that covers the real cost of showing up

Use this calculator when small jobs are easy to underprice because the customer sees only the on-site work while your business also carries travel, setup, admin, labor burden, and overhead.

A 30-minute repair or quick service call can still consume much more than 30 minutes of business capacity once dispatch, driving, loading, customer communication, invoicing, and fixed overhead are considered.

The calculator builds the smallest realistic job cost and converts it into a customer-facing minimum charge at your target margin.

Good to know

A minimum job charge is a pricing floor, not necessarily the price of every small job. Jobs with materials, unusual travel, equipment, risk, or complexity may need to be priced higher.

How it works

How the minimum job charge is calculated

The calculator starts with the smallest job your business is willing to dispatch and adds the costs that still exist even when on-site work is short.

1

Calculate minimum labor cost

Minimum crew hours are multiplied by loaded labor cost, with optional unbilled travel or dispatch labor added.

2

Add dispatch and job costs

Travel, supplies, equipment, admin, overhead allocation, and other minimum costs are added.

3

Find the break-even minimum

Total minimum job cost is the price where the business covers those costs but earns no gross profit.

4

Apply the target margin

The calculator converts minimum job cost into the customer price required to preserve your target gross margin.

Example

Example minimum job charge calculation

Suppose a service business wants to set a minimum charge for small calls:

Minimum crew hours1.5
Loaded labor cost$36.00/hour
Unbilled travel labor0.5 hour
Vehicle and travel cost$20.00
Supplies$8.00
Admin cost$12.00
Overhead allocation$40.00
Target gross margin40%
Result

Minimum on-site labor cost is $54.00 and travel labor adds $18.00. With $80.00 of additional travel, supplies, admin, and overhead, total minimum job cost is $152.00. At a 40% gross margin, the minimum sustainable job charge is about $253.33.

Understanding the results

What each result means

The key number is the difference between the cost of accepting the smallest job and the customer price required to make that job economically worthwhile.

Minimum job cost

The direct labor, dispatch, travel, setup, admin, overhead, and other costs associated with the smallest job you are willing to accept.

Break-even minimum charge

The customer price where those minimum costs are covered but no gross profit remains.

Minimum sustainable job charge

The pricing floor required to cover minimum job cost while preserving your target gross margin.

Margin at current minimum

The gross margin your existing minimum charge would generate under the cost assumptions entered.

Difference vs current minimum

The amount by which your current minimum charge is above or below the calculated sustainable minimum.

FAQ

Minimum job charge questions

Common questions about setting minimum service-call and small-job pricing.

Why have a minimum job charge?

Small jobs still consume dispatch, travel, labor, admin, vehicle capacity, and overhead. A minimum charge helps prevent short jobs from using business capacity without covering those costs.

Should travel time be included in minimum labor hours?

It can be. If travel is already included in your minimum crew hours, do not enter it again. Use the separate travel-labor field only when you want to track unbilled travel time explicitly.

Should overhead per job be included?

If you want the minimum charge to help carry fixed business costs, yes. Use an average overhead-per-job allocation from your overhead calculations.

Is minimum job charge the same as a service call fee?

Not necessarily. A service call fee may be one component of pricing, while a minimum job charge is the lowest total customer price you are willing to accept for a job.

Can I round the calculated minimum charge?

Yes. The result is an economic floor. You can round upward to a cleaner customer-facing price as long as the rounded amount does not move below the sustainable minimum.
